We are seeking a proactive and organised Service Team Administrator to join our dynamic team. The primary purpose of this role is to ensure the efficient administration of our service team, provide database support, and act as the first point of contact for families and stakeholders. This role is crucial in supporting the operational excellence of Challengers and enhancing the experience for all our families.

About Challengers:

Duties and Responsibilities:

  • Service Team Administration: Support the Service Team with effective systems to ensure a high-quality play and leisure service for disabled children and young people.
  • First Point of Contact: Act as the first point of contact for families, assisting with registrations, bookings, and inquiries both online and over the phone.
  • Database Administration:
    • Maintain, update, and manage data in Salesforce, including schemes, services, and child and family records.
    • Oversee the booking window process and create dashboards and reports for the Service Team.
    • Ensure accurate information for payroll processing and effective filing of electronic and paper records.
  • Local Authority Contract Monitoring: Compile reports to support the completion of monthly/quarterly child information monitoring for Local Authorities.
  • Scheme Administration Support: Assist Service Managers in maintaining effective administrative systems and ensure consistency across schemes.
  • General Support: Collaborate with the Impact and Evaluation Officer for survey data input and assist the Head of Service with internal and external monitoring and reporting.

  • Proven experience in administration, including proficiency in Microsoft Office and CRM systems (preferably Salesforce).
  • Possesses strong organizational skills, attention to detail, and accuracy in maintaining records.
  • Can work independently and as part of a team, effectively prioritizing tasks and managing their workload.
  • Communicates confidently and professionally with a diverse range of people, including families, staff, and external agencies.
  • Understands data protection principles and applies them in the workplace.
